Data we collect
From the contact form we collect your name, email address, optional engagement interest, optional scope note, and message content. When you commission work we may also hold business contact details, billing references, and project correspondence. Purchase ledgers and contracts you supply for analysis are treated as client confidential material; they may contain personal data of your employees or suppliers, which we process only to deliver the engagement.
Purposes
We use contact data to respond to enquiries, prepare estimates, deliver engagements, issue invoices, and improve clarity of our public materials. We do not sell personal data.
Retention
Enquiry messages without a resulting engagement are retained up to twenty-four months. Engagement records are retained for at least five years to meet accounting and professional documentation needs in Vietnam, or longer when a longer statutory period applies. Client extracts are deleted or returned according to the statement of work after project close-out, unless you request longer archival.
Your rights
Subject to Vietnamese law, you may request access to personal data we hold about you, correction of inaccuracies, and deletion where retention is no longer required. Send requests to hello@portalforestbase.click. We may need to verify identity before acting.
International transfers
Our primary processing occurs in Vietnam. If a specialist or secure processing location outside Vietnam is required for a specific engagement, we will disclose that in the statement of work and apply contractual safeguards appropriate to the transfer.
